A retail media operating workflow should let an England retailer follow an instruction through configuration, inspection and reporting without losing who authorised it. Start with a specific placement on a retailer or marketplace property. Keep wider advertiser media activity outside the workflow unless it is expressly part of that service.

The sequence below is a proposed house process assembled through desk research on 6 September 2026. It has not been run against a live campaign, and it supplies no promised turnaround or delivery result.

Receive a usable instruction

Record the advertiser, permitted inventory, creative asset and destination together. Ask the requester to identify the approved product selection and any conditions attached to the booking. Keep unresolved instructions visible instead of interpreting them silently during configuration.

Give the work a stable reference that survives revisions. A replacement asset should identify which earlier version it supersedes. Preserve the commercial approval separately from the implementation record so either can be checked without treating them as interchangeable.

Assign a recipient for questions. If the operator cannot determine which placement was purchased, return that issue to the commercial decision-maker before implementing a guessed configuration. This return path is part of the proposed workflow, not evidence of a contractual approval requirement.

Prepare the change for inspection

Describe the intended change in terms of the shopper-facing placement and its associated data operations. Note the environment and configuration version in which it can be examined. List conditions requiring separate attention, including a changed destination or an altered permission state.

CAP's recognition rules require advertisements to be identifiable as marketing. Ask the designated reviewer to examine that question in the complete retail page, with adjacent organic content visible. The code supports the recognition requirement; this particular handover method is editorial practice.

An asset approval alone does not document how a page rendered it. Attach the inspection evidence to the relevant version, and state which conditions were not examined. Do not mark an unperformed check as passed because the configuration appears familiar.

Resolve the permission dependency

Use the ICO's guidance on advertising storage and access when referring the actual data path for privacy assessment. It explains consent in this context; it does not approve the retailer's integration.

Record who will establish how permission and withdrawal affect requests, device access and downstream processing. Keep that decision connected to the implementation being assessed. A privacy statement supplied for another configuration cannot answer every question about this one.

Hand findings to the release owner

Present each finding with its evidence and consequence for the proposed change. Distinguish an observed defect from an unanswered question. Identify who can accept the remaining scope and who can pause or reverse the advertising change if necessary.

Leave response times unagreed where no authorised service commitment exists. This workflow does not set a launch date or assert that a campaign is ready. The actual decision needs an identified owner and evidence from the relevant environment.

Carry definitions into reporting

The IAB Europe V2.1 standards, issued in May 2026, distinguish media and attributed-sales measures. Use the adopted definitions when documenting the reporting handover.

Keep an ad request separate from a placement that rendered and from a viewability observation. Neither proves shopper attention. Sales credited under an attribution window also do not establish that advertising caused the purchase; any causal estimate needs its own evaluation basis.

Finish the handover with the source export, period, version and unresolved reconciliation questions. If a later correction changes the report, preserve the reason and previous issue rather than replacing the record without explanation. The next practical step is to nominate the actual owners and obtain the evidence needed for their decisions.
